Archive, restore, and manage inactive company records

How to Archive a Company

Archive companies you no longer need to actively manage.

Archive from the detail page

Open the company you want to archive and click the Archive button in the actions area at the top of the detail page. You will be prompted to enter an archive reason before confirming.

Bulk archive from the list

On the companies list page, select one or more companies using the checkboxes, then choose Archive from the bulk actions menu. You will be prompted to enter an archive reason that applies to all selected companies.

Provide an archive reason

An archive reason is required every time you archive a company. This text field captures why the record is being archived (e.g., "Acquired by another company," "Out of business," or "Duplicate record"). The reason is stored and displayed on the archived record for future reference.
Role Requirement
Only users with the Admin or Manager role can archive companies. If you do not see the Archive button, contact your administrator to request the appropriate permissions.

What Archiving Does

Archiving hides a company from the default list view while preserving all of its data.

  • Hidden from default list: Archived companies are removed from the default companies list so your active pipeline stays clean and focused.
  • All data preserved: No data is deleted. Activities, contacts, opportunities, custom fields, notes, and attachments remain fully intact on the archived record.
  • Archived badge: When you navigate to an archived company's detail page, a prominent Archived badge is displayed showing who archived it, when it was archived, and the reason provided.
  • Still searchable: Archived companies can still be found through global search and through the archived filter on the list page.
Associated Records Unaffected
Archiving a company does not affect associated people or opportunities. Contacts linked to the archived company remain active and visible in the People list, and any open opportunities continue to appear in your pipeline. Only the company record itself is archived.

Viewing Archived Companies

Use the filter toggle on the list page to find archived records.

On the companies list page, look for the status filter toggle near the top of the page. It offers three options:

  • Active(default) — Shows only non-archived companies.
  • Archived— Shows only archived companies.
  • All— Shows both active and archived companies together, with archived records marked by a badge.

Restoring an Archived Company

Unarchive a company to bring it back into your active list.

Navigate to the archived company

Use the Archived filter on the companies list page or search for the company by name using global search to find the archived record.

Click Unarchive

On the archived company's detail page, click the Unarchive button. The company is immediately restored to the active list. The archived badge is removed, and all data remains exactly as it was before archiving.
