Create and manage tasks with priorities and due dates

Creating a Task

Add a new task from the Task Board or from within a project.

Click "New Task" or "+" on a column

Click the New Task button in the top-right corner, or click the + icon at the top of any status column to create a task with that status pre-selected.

Enter task details

Enter the task Title and optionally add a Description with additional context or instructions. The title field is required.

Set priority and due date

Select a Priority level (Low, Medium, High, or Urgent) and set a Due Date to establish the task deadline. Priority is displayed as a color-coded badge on the task card.

Assign to a team member

Choose a team member from the Assigneedropdown. The assignee's avatar will appear on the task card for easy identification.

Save the task

Click Save to create the task. It will appear in the appropriate status column on the Task Board.

Task Fields

A complete reference of all fields available when creating or editing a task.

FieldDescription
Title*The name of the task. Displayed on the task card and in task lists.
DescriptionAdditional details, instructions, or context for the task.
PriorityThe urgency level of the task. Options: Low, Medium, High, Urgent. Displayed as a color-coded badge.
Due DateThe deadline for the task. Overdue tasks are highlighted in red on the Task Board.
AssigneeThe team member responsible for completing the task.
ProjectThe project this task belongs to. Leave empty for standalone tasks.
StatusThe current status of the task. Options: To Do, In Progress, Done. Determines which column the task appears in.

Priority Levels

Understanding the four priority levels and their visual indicators.

Low Gray

Tasks that are not time-sensitive and can be completed when bandwidth allows. These are typically nice-to-have improvements or low-impact work items.

Medium Blue

Standard priority tasks that should be completed within the normal workflow. Most tasks default to this level.

High Amber

Important tasks that should be prioritized over normal work. These often have approaching deadlines or significant business impact.

Urgent Red

Critical tasks that require immediate attention. Use this level sparingly for time-critical issues, blockers, or escalations.

Due Date Management

Track deadlines and identify overdue tasks.

Tasks with due dates display the deadline on the task card. When a task passes its due date without being completed, the due date is highlighted in red to make overdue tasks easy to spot. Use the due date filter on the Task Board to quickly find all overdue tasks.

Task Templates

Create tasks from predefined templates for repeatable processes.

Task templates allow you to define reusable task configurations for processes you run frequently. When creating a task, you can select a template to pre-fill the title, description, priority, and other fields. Templates are configured in Admin > Task Templates.

Use task templates for repeatable processes like client onboarding, project kickoffs, or monthly reviews. This ensures consistency and saves time when creating tasks that follow a standard pattern.

Editing Tasks

Update task details from the task card.

Click on any task card on the Task Board to open its detail view. From here, you can edit all fields inline including the title, description, priority, due date, assignee, project, and status. Changes are saved automatically.

Completing Tasks

Mark tasks as done when work is finished.

There are two ways to complete a task: drag the task card to the Done column on the Task Board, or open the task detail and toggle the completion status. Both methods update the task status and move it to the Done column.

Deleting Tasks

Remove tasks that are no longer needed.

To delete a task, open the task detail view and click the Delete button. Deleted tasks are permanently removed and cannot be recovered. If you want to keep a record of the task, consider moving it to the Done column instead.

Drag and Drop

Reorder and move tasks using drag and drop.

The Task Board supports full drag and drop functionality. You can drag task cards between status columns to change their status, and drag within a column to reorder tasks. This makes it easy to organize your work visually and prioritize tasks without opening each one.
