DocsDeal Rooms
CRM-connected conversations tied to your opportunities
What Are Deal Rooms?
Dedicated conversation channels that stay connected to an opportunity record.
Deal Rooms are a special type of channel that is automatically tied to an opportunity (deal) in your CRM. Unlike regular channels, Deal Rooms display live metadata from the associated deal — including stage, value, close date, and owner — directly in the conversation. This gives everyone in the room full context on the deal without switching screens.
Deal Rooms bridge the gap between communication and CRM data. Every message sent in a Deal Room is logged on the opportunity's activity timeline, creating a complete record of all discussions related to the deal.
CRM Context Bar
Live deal metadata displayed at the top of the conversation.
The CRM context bar is a persistent header at the top of every Deal Room. It shows key information from the linked opportunity so participants always have context:
Context Bar Fields
- Deal name — The name of the linked opportunity.
- Stage — The current pipeline stage (e.g., Qualification, Proposal, Negotiation).
- Value — The monetary value of the deal.
- Close date — The expected close date.
- Owner — The team member responsible for the deal.
- Company — The company associated with the opportunity.
The context bar updates in real time. When someone changes the deal stage or value in the CRM, the Deal Room header reflects the change immediately. You can click the deal name in the context bar to open the full opportunity detail page.
Auto-Membership
Who gets added to a Deal Room automatically.
When a Deal Room is created, the following people are automatically added as members:
- Deal owner — The user assigned as the opportunity owner. They become the Deal Room owner.
- Account team — Any users assigned to the associated company record.
- Creator — The person who triggered the Deal Room creation (if different from the owner).
Additional team members can be added manually at any time, just like a regular channel. If the deal owner changes in the CRM, the new owner is automatically added to the room (the previous owner remains a member).
Activity Logging
How Deal Room messages appear on the opportunity timeline.
Every message sent in a Deal Room is automatically logged as an activity on the linked opportunity's timeline. This creates a complete, chronological record of all deal-related communication alongside other activities like calls, emails, and meetings.
Activity entries on the timeline show the sender, a preview of the message, and a link to open the full conversation in context. Thread replies are grouped under their parent message in the activity log to keep the timeline readable.
Creating Deal Rooms
How to create a Deal Room for an existing opportunity.
Deal Rooms can be created automatically or manually. There are two ways to create one:
From the opportunity detail page
From the messaging interface
Deal Room Lifecycle
What happens to a Deal Room when a deal closes.
Deal Rooms follow the lifecycle of their linked opportunity:
- Active deals — The Deal Room remains fully active with all messaging features available. The context bar shows live deal data.
- Close-Won — When a deal is marked as Close-Won, the Deal Room is automatically archived. A system message is posted noting the deal was won. Members can still read the history but cannot send new messages.
- Close-Lost — When a deal is marked as Close-Lost, the Deal Room is also archived. A system message notes the outcome. The full conversation history is preserved for reference.
- Reopened deals — If a closed deal is reopened (moved back to an active stage), the Deal Room is automatically unarchived and messaging resumes.
