Power user tips for maximum productivity

Instant record lookup
Press +K (or Ctrl+K on Windows/Linux) to open global search from any page. Type a company name, person, or opportunity and jump directly to the record without clicking through the sidebar. This is the single fastest way to navigate the CRM.
Keyboard-driven list browsing
On any list page, use J and K to move through rows, then press Enter to open a record. Combined with N to create and E to edit, you can manage records entirely from the keyboard without reaching for the mouse.

Email templates for repetitive outreach
If you find yourself writing similar emails to prospects or customers, create email templates under Admin > Email Templates. Templates support merge fields like the contact's name, company, and custom fields, so each message feels personal while saving you minutes per email.
Contact groups for targeted campaigns
Use contact groups to segment your audience by criteria such as industry, location, lifecycle stage, or custom fields. Dynamic groups update automatically as contacts match or unmatch your filter criteria, keeping your lists fresh without manual maintenance.

Multiple pipelines for different processes
You are not limited to a single pipeline. Create separate pipelines for different sales processes, such as new business, renewals, and partnerships. Each pipeline can have its own stages and probability percentages, giving you accurate forecasting for each revenue stream.
Follow-up dates on companies
Set a "Next Follow-up" date on company records to ensure no account goes cold. The companies list can be sorted by this field, making it easy to start each day by working through your upcoming follow-ups in order.

Custom fields for your unique data
Every business tracks different information. Use custom fields (Admin > Custom Fields) to add fields like contract renewal date, preferred language, or account tier to companies, people, and opportunities. Custom fields appear in filters and exports, so they integrate seamlessly with your existing workflows.
Consistent tag naming conventions
Tags are powerful for filtering and reporting, but they lose value if naming is inconsistent. Establish a convention, for example lowercase with hyphens like "hot-lead" or "enterprise-tier", and document it for your team. This prevents duplicate tags like "Hot Lead", "hot lead", and "HotLead" from cluttering your system.
Archive instead of delete
When a company, person, or opportunity is no longer active, archive it instead of deleting it. Archived records are hidden from default views but preserved for historical reporting and can be restored at any time. Deletion is permanent and cannot be undone.

Workflow automation for repetitive tasks
Use the Workflows module to automate actions triggered by events in the CRM. For example, automatically assign a tag when a deal reaches a certain stage, send a notification when a high-value opportunity is created, or update a field when a company's status changes. Automations save time and ensure consistency across your team.
Custom reports for deeper insights
The Reports module includes pre-built dashboards, but the real power is in the custom report builder. Create reports filtered by date ranges, owners, stages, or any other field to answer specific business questions. Save your favorite reports for quick access from the Reports page.
Leaderboard for team motivation
Enable the Leaderboard to display real-time performance rankings for your sales team. Metrics like deals closed, revenue generated, and activities logged create friendly competition and give managers immediate visibility into team performance without running manual reports.
